Aktimus is an AI platform that helps businesses manage customer communication over WhatsApp. This policy explains what information we collect when a business ("Tenant") uses Aktimus, and when that Tenant's customers message a WhatsApp number connected to Aktimus, why we collect it, how long we keep it, and what rights you have over it.
Who this policy applies to
This policy covers two groups: businesses that sign up to use Aktimus to manage their WhatsApp communication, and the individual customers of those businesses who send or receive WhatsApp messages through a number connected to Aktimus.
Information we collect
- Business account information — business name, contact details, and identifiers for the WhatsApp Business Account and phone number a Tenant connects to Aktimus.
- Message content — the text and other content of WhatsApp messages sent and received through a connected number, which we process in order to deliver the conversation and, where a Tenant enables it, to generate AI-assisted responses.
- Contact details of end customers — the phone number and any profile information (such as a display name) that WhatsApp provides for someone messaging a connected business.
- Technical and usage data — delivery status, timestamps, and system logs needed to operate, secure, and troubleshoot the service.
Why we process this information
- To provide the core service: routing and delivering messages between a business and its customers via the WhatsApp Business Platform.
- To power AI-assisted features, such as drafting or suggesting replies, where a Tenant has enabled them.
- To maintain, secure, and improve the reliability and quality of the platform.
- To comply with applicable legal obligations and to enforce our terms of service.
We do not sell personal data to third parties.
How long we keep it
We retain message and account data for as long as a Tenant's account is active and the service is being used, plus a limited period afterward where needed for legal, security, or dispute-resolution purposes, after which it is deleted or anonymized. Precise retention periods per data category are still being finalized as part of legal review and will be specified in a future version of this policy.
Sharing with third parties
We share message data with Meta / WhatsApp to the extent required to send and receive messages through the WhatsApp Business Platform. We may also use infrastructure and AI service providers to operate Aktimus, bound by confidentiality and data-processing obligations. We do not share personal data beyond what is needed to provide the service.
Security
Each business's data is kept isolated from other businesses using Aktimus. Sensitive credentials, such as access tokens used to connect a WhatsApp number, are encrypted at rest. Access to customer data is restricted to what our systems and personnel need to operate the service.
Your rights
You may request access to, correction of, or deletion of your personal data. Business Tenants can also request deletion of their account and associated data. To make a request, contact us using the details below; we will confirm your identity before acting on the request and respond within a reasonable time.
Children
Aktimus is intended for use by businesses and their adult customers, and is not directed at children.
Changes to this policy
We may update this policy as Aktimus develops and as it is reviewed by legal counsel. We will update the "Last updated" date above when we do.
